
MINISTRY OF ENVIRONMENT AND URBANIZATION
As the Ministry, we have been authorizing laboratories that provide services under environmental legislation since 2004.
In this process, all laboratory activities such as application, evaluation, on-site inspection, auditing, and certification were carried out through numerous files and correspondence.
Over time, the reasons listed below created the need to carry out all these operations electronically with the relevant users.
1- Managing sample processes at the Environmental Reference Laboratory and quality processes within the scope of 17025.
2-The heavy workload created by the paperwork required by legislation, and the paper waste caused by carrying out all notifications and communications through official correspondence.
3-The difficulty of tracking process steps bound to specific deadlines and completing them on time.
4-Prolonged processes during on-site inspections and audits for tasks such as forming committees, recording nonconformities and corrective actions, preparing minutes, mission reports, etc.
5-As a result of evaluating applications: highly detailed and laborious document issuance processes based on legislation, scope, parameters, and methods, inconsistencies in practice, and disruptions in the standardization of documents.
6- The need to collect data, evaluate it statistically, and share it.
7-Queries frequently requested by our Ministry and various users.
We needed a system that would keep a historical record of all communication with laboratories (announcements, requests for information and documents, etc.) carried out via the website and through official correspondence.
Following this search, we met SetXRM in 2015.
After a quick joint analysis, we built and started using the “Laboratory Authorization Application” and the “Sample Acceptance, Laboratory Processes, 17025 Scope Quality Processes” sections.
We carry out all processes required by legislation through the system, conduct statistical studies with the data collected on behalf of the environment, and share these studies with the relevant authorities.
With the software’s dynamic and easily updatable features, we can enhance modules and add new ones. Thanks to this system, as users, we can carry out all operations in optimal time, to the same standard, and without paper waste.
Of course, project manager Mr. Kemal and his team deserve great credit for managing all these processes soundly, successfully, and quickly, thanks to their skill in finding fast and accurate solutions, creating alternatives, and doing all of this with a smile.
